Positions

President
Description: The President will act as the leader of the Graduate Council. Duties include coordinating the meetings of the Graduate Council, selecting an appropriate meeting time, announcing the meetings, encouraging the attendance of the members, and leading Council meetings. The President will appoint other members to fill the Graduate Council positions and committee assignments. Additional responsibilities include acting as a general liaison between the Graduate Council and the Computer Science department. The President also addresses students at Graduate Council functions such as Orientation, social events, and general meetings.
Responsibilities: One of the major roles of the President is to help guide the Graduate Council as it forms and works on an agenda. This includes helping to gather and prioritize agenda items, delegating responsibility for agenda items, and following through with Graduate Council members to check the progress of items and help resolve problems.

The President may assist other Graduate Council members as they work on agenda items.

The President should try to be aware of all the activities of the Graduate Council to help coordinate efforts. They should maintain a good relationship between the Graduate Council and the faculty.

Level of Work: 5-10 hours per week total - busiest position

Treasurer
Description: The Treasurer will maintain the Graduate Council checkbook and process all monetary exchanges on its behalf. The Treasurer will collect annual dues from all graduate students. The Treasurer will work with closely the Social Director to help fund social activities.
Responsibilities: Maintaining accounts and collecting dues, assist in organizing fund raisers. Provide regular reports to the Graduate Council & student body of the status of the Graduate Council accounts.
Level of Work: Holding office hours for dues collections

Secretary
Description: The Secretary will take meeting minutes during Graduate Council meetings.
Responsibilities: The Secretary will also collect the minutes of each Graduate Council meeting, report them in a timely fashion to the Graduate Council, and archive them in the gradcoun user account. The Graduate Council will make sure that someone will take minutes during a meeting that the Secretary is unable to attend.

The Secretary also holds primary responsibility for maintaining the Graduate Council Constitution and supporting documents. The Secretary will maintain the public information of the Graduate Council, including the graduate student information, the Frequently Asked Questions (FAQ), graduate student forwarding databases, and this Constitution and Bylaws. This information will be published in the medium designated by the Graduate Council. Much is this work may be shared with the Webmaster position.

Webmaster
Description: The Web Administrator maintains the Graduate Council's web page as well as the home page for csgrad (http://csgrad.cs.vt.edu). This position requires one to stay abreast of the Graduate Council activities and to publish these activities in a timely fashion.
Responsibilities: Maintenance involves keeping the web pages up-to-date concerning Graduate Council activities, such as up coming social events, pictures from previous social events, the ongoing mentor program, the ongoing research seminar series, current space allocations, Graduate Council meeting minutes, the positions held by Graduate Council members, proposals that require graduate student feedback, etc. The Web Administrator also posts information relevant to graduate students, such as a list of frequently asked computing questions, links to relevant CS web sites, and help aids for new graduate students.

Gay Meredith, Computer Systems Engineer
First Year Representative
Description: The New Student Coordinator (NSC) will be elected from the body of new students each fall to encourage the new students to participate in student events and inform them of relevant Graduate Council, Department, and University policies. As a first year representative, being a Graduate Council member is a learning experience. Being on Graduate Council helps in interacting with people not only in our department but also with others.
Responsibilities: A first year representative may hold office in other positions and on other committees.
Level of Work: No additional work required for this position.

Advertising Chair
Description: The Advertising Chair will act as the speaker for the graduate council.
Responsibilities: The Advertising Chair will create fliers and find responsible people to distribute them in appropriate spaces. (S)he will also write reminders and updates about events on listserves and find new and appropriate ways to faciliate advertising for the graduate council.
Level of Work: 1-3 hours of creating fliers and posting them for appropriate events

Social Chair
Description: The Social Chair will work to host events on behalf of the Computer Science Department that encourage a sense of community within the student body.
Responsibilities: The Social Chair should lead various activities such as hikes in the spring and fall, pot luck in the winter, and a picnic in the autumn. Emails should be sent out two weeks before an event and then two days before the event as a reminder.
Level of Work: This position is variable depending on the number of events and how long they run for.

Graduate Program Committee (GPC) Representative
Description: A representative on the Graduate Program Committee. The will work with the GPC on issues related to the requirements of the graduate program. These issues may include the PhD milestones, cognate courses, Computer Science courses, requirements for graduation, and providing input to the TA assignment process and Progress Towards Degree evaluation process.
Responsibilities: To represent students concerns regarding graduate program. Maintain open lines of communication between the GPC, the Graduate Council and all graduate students.
Level of Work: 2 hours per meeting, usually meet every other week.

Graduate Student Assembly (GSA) Representative
Description: Liaison between Computer Science students and the GSA The GSA Representative also has opportunities to get involved as an officer to the GSA.
Responsibilities: Voicing the concerns of Computer Science graduate students to the GSA. Reporting on GSA activities to the Graduate Council and Computer Science graduate student body.
Level of Work: Meeting for around 1 to 1 1/2 hours once a month.

Computer Resources Committee (CRC) Representative
Description: Representative for the Graduate population to the committee.
Responsibilities: Bringing any concerns and requests regarding hardware / software needs of graduate population to the committee's attention. Helping the committee in creating specifications for new hardware and software for the graduate labs.
Level of Work: CRC meets approximately once a month for an hour long meeting. Apart from this, time is needed before the meetings to compile the graduate student concerns. However, not more than 1 hour/week is required on the average per semester.

Faculty Meeting Representative
Description: Faculty Meeting Representative will attend the faculty meetings and represent the stance of graduate students within that forum. This position provides a good opportunity to interact with faculty members.
Responsibilities: They are responsible for making sure that graduate students know what current issues are being addressed by the faculty members. The are responsible for voicing concerns about the graduate program to faculty members. Most concerns are known by faculty members by the time they are addressed at a faculty meeting, so the representative is a primary liaison between the faculty and the Graduate Council.
Level of Work: The faculty meet every two weeks for a 2 hour meeting.
