Attendees:  Rob Capra, Mir Farooq Ali, Nathan Conklin, Tracy Lewis, Pankaj Poddar, Ragavan Srinivasan

Not present: Kimberly Woods

Next Meeting: 5:30 PM - Thursday, August 17th.  McBryde 607 (the same room as the mentor meeting location if the room number is not correct).

1. Mentor Program

Mentor Assignments are being made.  Nineteen have been made so far.  Nathan and Kim will be running the upcoming mentor meeting.  They will present an agenda for review by the other Grad Council members.

2. Communication

To work on the grad council communication problems we will be adopting

the following policy:  Anything that will be presented publicly (emails to students@csgrad, letters to students, meeting agendas, letters to committees, etc.)  will first be sent to gradcoun@csgrad for review by all grad council members.  This should be done at least two days before presentation to its public forum.

3. Orientation

The agenda items for the new student orientation (August 18th 3:30 - 4:30 PM) include:

   - What is grad council (Rob presents)

   - Introduction (Everyone introduces themselves - name, background,

research and coursework interests in CS, interests outside of CS)

   - Accomplishments of grad council

   - Description of the Saturday registration service scheduled for August 19th.

   - Upcoming social activities - Fall Picnic

   - Upcoming seminar series

   - Q/A session

   - Name tags to everyone before they leave for the reception

   - Complete mentor assignments at end of the meeting

 4. Reception

Nathan has met with Sandy to get details of the reception.   We will set up the reception in the afternoon before the orientation QA session.

5. Reminders

When planning events, send reminders to everyone via email.

6. CRC funding

We have to allocate the $150,000 in funding from the CRC.   We suggest:

  50 Intel machines:

     PIII 733 MHz

     256 MB RAM

     10 Gig HD

     Sound Card

     CD-RW

     Zip250

     Network Card

19'' Monitor (better dot pitch than current monitors)

Specifically request desktops - NOT towers

  Allocation for the machines are:

     Grad Lab    29

     Brodie        9

     TA Space     7

     Grad Offices 4

  1 Scanner Machine for gradlab

  3 Printers

     Grad Lab   - 2 new

     TA Offices - 1 new

     Brodie     - old gradlab printer

  1 Apple G4

  1 Sun Ultra SPARC

 7. Department Relations

We are disappointed in current relations with parts of the department.  We were told that we could have two members on GPC, but have since been told that we will be allowed only one member.  The CRC gave less than 24 hours for us to make "final" decisions on the allotment of funding.  We need to decide how we plan to handle these two situations.

8. Furniture Moving

We need to get participation for the furniture moving with Sandy.   This is important because we will have problems participating (with our running orientation and PhD Quals).

9. Grad Council Attendance

August 17 Mentor Meeting - Mentors Only (Kim and Nathan required)

August 17 Grad Council Meeting - Please try to attend

August 18 Orientation - Everyone Required

August 19 Registration Event - Less important, mentors should be there

Augsut 26 Picnic - Less important
